Transport Company Software That Gets the Office and the Yard on the Same Page
Most transport companies don’t have a shortage of systems. They have too many. One for tracking, one for jobs, a spreadsheet for maintenance, a folder of paper work diaries, and a whiteboard that only one person really understands.
ManageVehicle is transport company software that brings all of that into one place. Jobs, drivers, compliance and maintenance sit in a single system, so the people in the office and the people in the yard are always working from the same information.
Where things usually fall apart
When information lives in different places, small gaps turn into big problems:
- The office books a job on a truck the workshop has just pulled off the road
- A driver’s licence or medical lapses and nobody notices until a roadside check
- Customers call asking where their load is, and someone has to ring the driver
- Compliance records are spread across paper, email and three different logins
Every one of these costs time. Some of them cost a lot more than that.
One system for the whole business
Jobs and drivers together. With driver job assignment, the office can create and assign jobs, and drivers see them on their phone. Status updates come back in real time, so you know when a job starts and finishes without chasing anyone.
Live location, no phone calls. GPS fleet tracking shows where every vehicle is right now. When a customer asks for an ETA, you can answer in seconds.
Compliance built in, not bolted on. Our Electronic Work Diary, MV Driver, has been approved by the NHVR since September 2026. Work and rest hours, fatigue alerts and pre-starts feed into the same system your office already uses.
Maintenance the office can see. When the workshop books a truck in for a service, the office sees it as unavailable. No more double-booking a vehicle that’s sitting on a hoist.
Documents in one place. Licences, registrations, insurance and accreditation records are stored and tracked in documents management, with reminders before anything expires.
Built for Australian transport rules
The amended Heavy Vehicle National Law started on 1 August 2026, and it puts more weight on businesses being able to show they’ve taken reasonable steps to manage safety. Under Chain of Responsibility, that applies to everyone in the business who influences how the trucks run, not just the drivers.
That’s a lot easier to show when your jobs, hours, maintenance and documents are already in one system with dates and records attached. If you want the background, our Chain of Responsibility guide covers what changed.
Grows with you
Whether you run 3 trucks or 300, the setup is the same. Smaller operators can start with the basics like tracking, EWD and maintenance, and add job management or dashcams when they need them. Larger fleets get the same tools with the reporting to match.
FAQ
Do we have to replace all our existing systems at once? No. A lot of companies start with one area, often tracking or the EWD, and move the rest across over time.
Can drivers use it on their own phones? Yes. The driver app runs on standard smartphones, so you don’t need extra hardware for job updates or pre-starts.
Does it work across state borders? Yes. Vehicles are tracked wherever they go, and the EWD follows HVNL rules in the participating states (NSW, VIC, QLD, SA, TAS and the ACT).
