Fleet Dispatch Software That Answers “Who Can Take This Job?” in Seconds

A dispatcher’s day is mostly one question asked over and over: who’s free, where are they, and can they legally take this job? On a busy morning, answering that can mean five phone calls, a look at the whiteboard and a guess about someone’s hours.

ManageVehicle’s fleet dispatch software puts the answer on one screen. You can see where every truck is, which drivers are fit to drive, and which job should go next, without ringing around.

Why dispatch gets so messy

Dispatch sits in the middle of everything. You need live information from the road, the yard, the workshop and the compliance side, all at once. When that information is spread out, you end up:

  • Calling drivers to find out where they are
  • Guessing how many hours a driver has left before they need a break
  • Assigning a job to a truck that’s booked in for a service
  • Finding out a job finished late only when the customer complains

It’s stressful, and it’s where most avoidable mistakes happen.

What ManageVehicle gives your dispatch team

Every truck on the map. Real-time GPS tracking shows each vehicle’s location, speed and status. Geofences tell you automatically when a truck arrives at or leaves a site.

Driver hours you can trust. Because work and rest hours come straight from the Electronic Work Diary, you can see how much time each driver has left before you hand them a job. That takes the guesswork out of fatigue management.

Fit to drive, before they drive. Pre-start checks and fitness declarations happen on the driver’s phone at the start of the shift. If someone isn’t fit, you know before the truck leaves the yard.

Jobs sent straight to the driver. Job assignment lets you send jobs to the driver app, with status updates coming back as the job moves along.

A record of where trucks have been. Route and location history helps you settle customer queries, check delivery times and plan better routes next time.

Why “fit to drive” matters more now

Under the amended HVNL, the duty not to drive while impaired is broader than it used to be. It now covers more than fatigue, including illness, injury, medication and other things that can affect a driver, and it applies to all heavy vehicles over 4.5 tonnes GVM. The maximum penalty for that duty is now $26,610.

Schedulers and dispatchers are part of the Chain of Responsibility, so pushing a job onto a driver who’s out of hours isn’t just a driver problem. Seeing hours and fitness before you assign the job is the simplest way to stay on the right side of it.

A typical morning

A customer calls at 7:40 with an urgent pickup in Dandenong South. You open the map, see two trucks within 15 minutes of the site, and check their hours. One driver has under two hours of work time left before a mandatory break, so the job goes to the other. It’s on their phone a minute later, and you get a notification when they arrive on site.

No calls, no guessing, and the customer gets a real ETA.

FAQ

Can dispatchers see driver hours without opening the EWD itself? Yes. Remaining work and rest time shows alongside each driver, so you can check it while assigning jobs.

Do we get alerts when a truck reaches a site? Yes. Set up geofences around depots, customer sites or no-go zones, and you’ll get alerts when trucks enter or leave them.

Can we reassign a job once it’s been sent? Yes. Jobs can be changed or moved to another driver, and the driver app updates straight away.
